Streamlining NHS supply chain operations with tailored RPA solutions.
Manual procurement processes at NHS created inefficiencies across their complex supply chain. With numerous vendors and high order volumes, these time-consuming and error-prone workflows hindered operational efficiency and increased costs.
The Solution
We developed three tailored RPA solutions to automate critical procurement workflows:
- Products Information Extractor – Automates stock verification by retrieving product availability data from the NHS Supply Chain portal and exporting it into Excel.
- Order Information Extractor – Tracks order fulfillment by extracting order details from NHS Supply Chain and exporting data into Excel for improved visibility.
- Order Manager – Handles purchase order submissions, validates data, and automates bulk imports and submissions to vendors, with detailed tracking and reporting.
The Results
- 90% reduction in time spent on stock checks and order tracking.
- 80% faster order processing and submission.
- Improved data accuracy with no manual errors.
- Enhanced visibility into procurement workflows through automated reporting.
- Increased staff productivity by freeing up time for high-value tasks.
- A scalable foundation for further digitization of NHS procurement processes.
Through a collaborative discovery process and targeted RPA implementations, our consultancy helped NHS successfully automate key procurement workflows. The project demonstrated the power of RPA to drive efficiency, accuracy, and productivity in complex supply chain operations. With a robust automation foundation in place, NHS is well-positioned to scale and optimize its procurement processes for the future.
Testimonial
”Having worked with a number of NHS Trusts on the development of bespoke solutions to ensure effective ordering of important high cost, clinically complex, medical devices I was incredibly impressed with the flexible, swift and innovative approach shown by this company. Where a solution is found within short timescales I normally assume that this will need to be further integrated into mainstream systems, however this has not been the case and the bespoke solution developed has continued to perform well and ensure that data flows effectively and appropriately. It is clear that the company is adept at not only designing high quality solutions, but also in listening to the needs and requirements of clients carefully.”
